đ Travel Documentation and Prep
- Travel paperwork needs: If needed, you can expense up to $100 for travel paperwork needs, such as visa applications, passport renewal fees, photocopies, printing, etc.
- Travel insurance coverage (up to $100 per teammate) is available for teammates outside the US, Canada, and the UK to cover health-related expenses not included in existing health plans. Teammates in the US, UK, and Canada are already covered through extensions of their current health benefits.
- Note: that some credit cards offer complimentary travel insurance (including medical) if you use it to purchase a flight, so please check if you're covered before buying any additional insurance. đ
- Passport Renewals: A 6-month validity period and two blank pages for stamping is the minimum entry requirement for many countries. If you need to update your passport to attend a meetup or Retreat, weâll cover the costs. This is generally ~$200.
- Sim Card: Up to $20 to purchase an ESIM or a local SIM card if you choose to.
- COVID Tests: For most meetups and Retreats, we require daily COVID testing, and you can expense the cost of the number of tests needed.
- If you live in an area where you canât get COVID tests, please let your manager and/or the People Team know.
- If tests are expensive where you live, consider checking with the People Team and seeing if someone can bring you some. (Tests are generally $6 - $7 each in the US right now).
- Visa Consultants: We would love for every teammate to be able to make meetups and retreats, and we prioritize destinations that will welcome all teammates. Please reach out to the People Team to discuss working with a Visa Consultant.
âď¸ Getting There
Buffer will cover the cost of a roundtrip flight for any company meet-up that we request you attend, i.e. team meetups and company retreats. This is the general guideline for the kind of flight that we'll cover:
- Coach/Economy/Main Cabin ticket
- We recommend a journey with a reasonable amount of stops and length of travel - use your judgement to find a flight pattern that makes sense within the budget. (For example, donât spend an extra 12 hours on a layover just to save a few bucks!)
- If you prefer to upgrade to a premium ticket at your own expense (Premium Economy, Business, First Class), please feel free to do so and expense the amount of a basic economy ticket for that same flight. You can check and compare these prices on Google Flights.
- One checked bag (if not included in ticket price)
- If I am exploring alternative travel options (e.g. train, ferry, instead of taking a flight), how much can I expense for my trip? You may expense the equivalent cost of a roundtrip coach/economy/main cabin flight ticket within the allocated budget from your home airport. Please check Google Flights or Skyscanner for a good comparison.
đ Getting Around
Buffer covers your Taxi/Uber/Lyft needs during retreats and meetups:
Ground Transportation:
- From home to airport; airport to home
- Choose an Uber X, taxi, public transit, or whatever youâre most comfortable with. We generally ask you to use $75 each way or $150 total as a guideline. (If youâre unable to get to and from your airport for $150, just let us know in your expense report, but please do not exceed $100 for any individual ride.)
- You may also choose to apply $150 total to a hotel room close to the airport instead of transportation if that makes more sense for your situation.
- Alternatively, you can use this budget to park at your local airport if that is more practical and/or affordable.
